Purpose of Job

 
The HR Business Partner’s scope of role encompasses a broad range of HR Operational activities and contributes towards site HR policies, processes, as well as company-wide projects.   Responsibilities include:
 
  • The efficient delivery of day-to-day activities across the Ireland HR Function.
  • Acts as a point of contact for Ireland HR Operational areas,  including payroll, recruitment & onboarding, employee relations, learning and development, vendor relationships and delivering key HR Activities within the HR Cycle.
  • Provides HR-related guidance and advice to line managers. 
  • Supports Interim HR Director, Ireland with ad hoc projects or activities.
  • Supports organisational culture acting as a key partner for employee wellbeing, sits on the  Health & Wellbeing and Events Committee.
  • Line manager to HR Administrator based in Ireland office.
Job Description

Major Activities

Talent Acquisition

  • Supports recruitment activities with the co - ordination of interviews, approvals of offers by SLT as required.
  • Manages the new hire onboarding process, which includes drafting and extending offers, reference checks, co-ordinating medicals & delivering and co - ordinating inductions.  
  • Updates systems/trackers as required to ensure data is accurate and current.
  • Analysis and use of metrics such as absence and turnover and attrition.
  • Participates in the selection process, attends interviews on behalf of HR when required, to evaluate competencies of candidates in meeting our cultural values/behaviours.
  • Coordinates communication with agencies as needed including their setup on our systems, maintaining relationships with all agencies and ensuring signed terms are in place.  Provide positive or negative feedback on their delivery to the business.
  • Contributes to the talent planning strategy, liaising with universities and colleges to strengthen links in relation to our Coop Student Programme and UCC Masters partnership, to build stronger MeiraGTx branding.  
Payroll
  • Manages the monthly submission and administration of payroll with outsourced provider, ensuring clear communication with all stakeholders.
  • Ensure payrolls are prepared, processed accurately, timely and in accordance with the payroll calendars.
  • Partners with the Global HR SVP and Finance VP, UK on data required for monthly processing. 
  • Maintains a high attention to detail for payroll checks to ensure all adjustments are captured efficiently. 
  • Liaise with internal payroll approvers (i.e. Finance team) and ensure payroll is approved in a timely manner.
Onboarding process
  • Coordinates the new starter process including preparation of contracts of employment, new starter packs, first day agenda and assisting with initial induction and orientation.  Liaises with IT department or hiring managers as required for IT, EHS and GMP inductions.
  • Initiates new hire welcome email and company benefit information to all new hires.
  • Manages and updates the new hire onboarding /Induction processes to create a positive employee experience. 
  • Communicates all new hire data to IT/QA Doc Control for network set up and QMS training activities.  
 HR Policies and Procedures
  • Leads/supports as appropriate on the monitoring and implementation of all HR policies, procedures, and related documentation, including sickness/absences tracking.   Participates on global initiatives, in line with best practice.
  • Acts as a referral point for employees on queries and escalating, as appropriate.
  • Manages all the documentation related to changes in employee status, titles, roles, or compensation changes, ensuring ADP and personnel files are updated.
  • Evaluates and updates Ireland HR Policies and initiatives aligned with the business strategy and works with the HR Director and Global SVP, HR on updates to employee handbook or new initiatives. 
  • Partners with line managers for their teams’ performances throughout the year and advises on policies or procedures. 
  • Reviews and updates the organisational charts for Ireland and partners with the UK HRBP to sign off any amendments on a monthly basis for global org charts.  
  • Raises and manages all PO’s and vendors for HR Ireland.
Benefits Management and Administration
  • Action employee benefit queries around Pension or Company Health/Dental Insurance and liaise with various benefit providers to facilitate employee access.  
  • Evaluate new benefit initiatives and set up/communicate as required.
  • Manage the Occupational Health with external provider, co-ordinating annual medicals, pre-employment medical, annual health surveillance and occupational health referrals.
  • Co-Ordinate and update  Ireland company wellness calendar with support of our healthcare provider.
  • Manage benefits vendor/ supplier contracts and annual renewals for Healthcare, Dentalcare and Pension Scheme.  
  • Organise for benefit providers to facilitate presentations covering levels of cover for Health and Dental insurance. 
  • Organise annual Pension Clinic with external benefits provider.  
Occupational Health Management
  • Maintains relationship with the occupational health provider for all required appointments.
  • Manages annual health surveillance appointments mandatory for all staff in quality and manufacturing, to ensure employee safety and compliance with regulations, partnering closely with the EHS Manager and Management.
  • Supports delivery of any recommendations, reasonable adjustments, or health concerns as needed to EHS manager.
  • Key member of the EHS Council.  
  • Completes all OH Referrals and maintain discussions with employees and managers.
 HRIS Management
  • Ad hoc reporting as required including the execution of monthly department reports –pension deductions, stock options, salary review etc.
  • Updates and maintain HR systems, and follow through on administration processes and procedures.Supports on organisational audits when necessary, HPRA Audit and any department specific audits.

Employee Relations

  • Act as a point of support and guidance to managers for employee relation queries.
  • Liaises with the HR Director, Ireland to provide support and guidance for employee relation queries including potential performance improvement plans, grievances and disciplinaries as required.
  • Works with the HR Director, Ireland to provide necessary documentation required of each process.  
  • Updates HR policies as needed and ensure the employee handbook is up to date and reviewed every two years with the HR Director.
  • Responsible for communicating any new company policies and procedures and uploading to shared HR company folder in between employee handbook reviews to ensure the information is effectively shared.

Experience/Qualifications

  • Education: BSc degree or Masters in HR or a related discipline is required, with CIPD accreditation often preferred. 
  • Manufacturing Background: Proven experience in a manufacturing setting is highly desirable. 
  • Payroll: Minimum 3-5years experience managing and processing company HR payroll. Basic understanding of tax elements desirable. 
  • Employee Relations: Strong experience in managing employment relations issues and clear understanding of ER policies and procedures. 
  • Generalist HR Skills: Minimum 3-5years handling HR Generalist operational activities and performance management. 
  • Strategic Partnership: Proven ability to partner with operational leaders to align HR strategies with business goals, improving efficiency and performance. 
  • HRIS & Data: Proficiency in HR Information Systems (HRIS) and creating company metrics.

The 29,000-square foot facility has the flexibility and capacity to produce sufficient product for all our clinical trials and will scale to commercial capacity.
